The IT and Operations Associate will perform three primary functions:

1. Information Technology:

  • Act as primary point of contact for TBG’s IT provider
  • Act as a support resource and liaison to TBG’s IT provider to handle any employee or contractor IT issues
  • Serve on and Administer TBG’s Information Security Committee
  • Support and train on company-wide compliance with TBG’s Information Security Program, including both full-time and contract employees
  • Maintain inventory of all IT equipment in accordance with TBG policy
  • Maintain all audio/video equipment on site and ensure its proper operation and update
  • Manage company-wide passwords
  • Platform subscription and user management of the following:
    • Box.com
    • TBG Corporate Zoom.com Accounts (including Zoom Phone)
    • Slack
    • Nordpass
    • Handle TBG’s FedEx and UPS accounts
    • Outlook and Calendars. This includes:
      • Managing scheduling for all conference/meeting rooms
      • Ensuring that TBG’s Office Calendar is up to date with all pertinent events/holidays/etc.
    • Manage IT equipment vendor relationships

2. Operations:

  • Act as primary liaison with the management and maintenance staff of our 301 N Elm St. location. This includes Managing the storage room, keys and fobs for all personnel, and submitting first floor conference room requests and special maintenance requests
  • Manage all office vendor and supplier relationships, including:
    • Caterers and coffee vendors
    • Office supply and A/V equipment vendors
    • Copier/electrical/plumbing/appliance maintenance vendors
    • Dry cleaners/janitorial vendors
    • Others as needed
  • Manage and maintain all office assets in proper working condition. This includes furniture, whiteboards, easels, lights, printers, heaters, fans, etc.
  • Ensure that all office spaces are always clean and presentable, with emphasis on public areas (training room, conference rooms, kitchen, lobby, etc.)
  • Ensure adequate inventory of office supplies. This includes paper, pens, markers, copier paper, shipping supplies, kitchen supplies, cleaning supplies, and any other requested items
  • Assist the HR Director/Leadership with:
    • Onboarding
    • Annual holiday calendar and adding dates to Outlook calendars
    • Company training events (Second Friday, Monday Huddle) and adding them to Outlook calendars
    • Administration/scheduling of company perks (game lunches/parties/offsite events/etc.)
    • Travel scheduling (as requested by CEO)
    • TBG Board of Directors meeting scheduling/setup/management
    • Other tasks as required
  • Assist Project Management Team with:
    • Management and administration of on-site events (Opens/guest meetings/etc.)
    • Any shipping needs (FedEx/UPS/USPS)

3. Virtual Program Producer management:

  • Assist HR in selection of Producers
  • Manage onboarding, training, seating, and time sheets for all Producers
  • Work with Project Managers to schedule Producers as needed
  • Ensure that all Producers perform up to TBG standards on all sessions

  • At least one year of experience managing IT functions

Education:

  • Degree from a four-year university or equivalent work experience (information technology degree preferred)
