We’re looking for a detail-oriented Sales Support Specialist to keep the engine of our sales organization running. Reporting to the VP of Sales, you’ll provide operational support to the sales team, administering the tools our sellers rely on every day, preparing the documents that move deals forward, and taking non-selling work off sellers’ plates so they can focus on customers and revenue. This is a hands-on execution role ideal for someone who loves organizing systems and data, is deeply comfortable in the Microsoft Office suite, CRM and Sales engagement platforms, and takes pride in making the people around them more productive.

Key Responsibilities:

Deal Execution & Pipeline Support

  • Prepare quotes, proposals, letters of agreement, MSAs, and SOWs accurately and on time.
  • Support the quote-to-close workflow, ensuring clean handoffs and timely turnaround on deal documents.
  • Build and maintain recurring sales reports and dashboards (pipeline, activity, forecast, quota attainment) for the full sales team and the VP of Sales.

Sales Process & Operational Excellence

  • Ensure consistent use of tools across the team (CRM, CPQ, and the broader sales tech stack).
  • Help implement new tools and AI-enabled workflows to increase efficiency and reduce manual work.
  • Maintain CRM hygiene — accurate contact information, correct deal stages, realistic close dates, and reliable deal values — so the team can trust the numbers.
  • Document sales processes and maintain playbooks, SOPs, and how-to guides for consistency.

Internal Coordination & Support

  • Coordinate with sellers on event and prospecting strategies and the resources required to execute them.
  • Partner with Marketing on client outreach and campaign execution.
  • Manage sales content, templates, and collateral so reps can quickly find and use the right materials.
  • Troubleshoot user issues, coordinate with vendors on support tickets, and help onboard new sales hires into all systems and tools.

Tools & Technology

  • Proficient using and administering CRM — e.g., HubSpot or Salesforce
  • Reporting & analytics — e.g., Excel and/or Google Sheets for building reports, dashboards, and analysis (pivot tables, formulas, and charts).
  • Sales engagement / outreach — e.g., Outreach, Apollo, or HubSpot Sequences for managing cadences, email sequencing, and call logging.
  • Proposals, quotes & e-signature — e.g., DocuSign, or DealHub for generating and executing quotes, proposals, and agreements.

Preferred Qualifications

  • 1–4 years of experience in sales operations, sales support, administration, or a data/CRM-focused role.
  • Proficiency in the Microsoft Office suite / Microsoft 365 — particularly Excel (pivot tables, advanced formulas), plus Outlook, Word, PowerPoint, and Teams; comfort with SharePoint/OneDrive.
  • Hands-on CRM experience with administration ability (HubSpot, Salesforce, or comparable)
  • Strong analytical skills with high attention to detail and accuracy.
  • Excellent organizational and time-management skills; able to juggle requests from multiple sellers and prioritize effectively.
  • Clear written and verbal communication skills, with a service-minded, collaborative approach.
  • Familiarity with drafting or managing contract documents (proposals, MSAs, SOWs).
  • Comfort with automation, integration, or AI tools and eagerness to learn new platforms quickly.
